Job Summary:
We are seeking a highly organised and detail-oriented Office Manager to oversee our London office and international branches. The successful candidate will be responsible for a wide range of administrative, operational, and compliance tasks, ensuring seamless office operations, maintaining brand standards, and supporting international business activities.
Key Responsibilities:
Office Management:
- Oversee day-to-day office operations in London, ensuring smooth functioning and adherence to company standards.
- Manage and mentor the office management apprentice to handle day-to-day administrative tasks.
- Collaborate with overseas colleagues to ensure consistent operational practices and brand alignment across all locations.
- Maintain and update document templates and shared drives, ensuring accessibility and organisation for the entire team.
- Manage the ISO accreditation process, ensuring compliance and maintaining certifications.
- Identify and resolve operational issues promptly, developing and implementing workable solutions.
- Ensure all office environments meet Chesamel’s desired aesthetic and functional standards.
Compliance, Client Onboarding & Contracts:
- Manage compliance and registration processes for global entities, ensuring adherence to local regulations.
- Oversee the onboarding processes for new accounts, directly managing any technical requirements with clients and ensuring that all parties complete the required compliance documents in a timely manner
- Complete procurement forms and registrations as needed.
- Develop and maintain contract templates for all entities.
- Review new contracts initiated by external parties.
Procurement & Renewals:
- Manage renewals for subscriptions, memberships, and insurance policies.
- Oversee the procurement process, ensuring timely acquisition of office supplies and services.
IT Operations:
- Monitor and enhance the performance of applications, infrastructure, and services to meet or exceed SLAs.
- Identify and mitigate operational risks, implementing appropriate controls and measures to protect client assets and data.
- Manage relationships with third-party vendors and partners, evaluating performance and ensuring alignment with business objectives.
Qualifications & Skills:
- Proven experience in office management, preferably with international experience.
- Experience in working within a startup or SME environment
- Understanding that all roles contribute to revenue generation.
- Strong leadership, organisational, and problem-solving skills.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Monday.com, HubSpot, and Google Workspace.
- Experience with compliance and contract management.
- Ability to work independently and as part of a global team.
- Willingness to travel internationally as needed.
